Why the symbols appear
AI assistants write their answers in Markdown, a simple way of describing formatting in plain text. A line that starts with ## is a heading, **word** is bold, a line that starts with - is a bullet, and a table is drawn with vertical bars and dashes. The chat window understands this and shows you headings, bold text and tables.
Microsoft Word does not read Markdown. If the text you paste still contains the symbols, Word shows them literally. Depending on the chat app and how you copy, you may get the symbols, or you may get plain paragraphs with the formatting lost, or a table that has collapsed into lines of text. All three are the same problem: the formatting information has to be translated into Word’s own formatting.
The quick fix: convert the Markdown
The cleanest way is to convert the Markdown to a real Word file. With the ChatGPT to Word tool:
- Copy the answer. If the chat has a copy button, use it: it usually copies the Markdown source, symbols included. That is what you want here.
- Paste it into the converter and look at the preview.
- Choose the font, size and page layout, and download the .docx.
- Open it in Word, Google Docs or Pages.
The headings are real Word headings (so the navigation pane and a table of contents work), lists are real lists, tables are real tables, and links are clickable. Everything is converted in your browser, so a private conversation is not uploaded. The tool is independent and is not affiliated with OpenAI; it works with Markdown from any assistant.
Other ways, and their trade-offs
- Paste into Word and tidy by hand. Fine for two paragraphs, painful for a long answer with tables. Use Paste Special, Keep Text Only to avoid carrying over odd styles, then fix headings manually.
- Paste into Google Docs. Recent versions can detect Markdown you paste when a Markdown option is enabled in the preferences. Check that your version has it, and look at the result before you rely on it.
- Ask the assistant for a file. Some assistants can produce a document file directly. This depends on the assistant and your plan, and the result still needs checking.
- Remove the symbols instead. If you only need clean paragraphs for an email, strip the Markdown and paste plain text.
Getting tables right
Tables are the hardest part. In Markdown a table needs a header row, a separator row such as |---|---|, and the same number of cells in each row. If your table pastes as a single line, the copy lost the line breaks, and you should copy again with the chat’s copy button. When you ask for a table, it helps to say “give me a Markdown table”, because answers sometimes use bullet lists where you wanted columns.
After converting, look at the table in Word: widths adjust to the page, and a long table may need narrow margins or landscape orientation. Word’s own table tools then work as for any table.
Ask for a document-friendly answer
If you know the answer is headed for a document, you can improve the result at the source. Ask for headings and short paragraphs, a table where it fits, and no introduction or closing remarks. Ask the assistant not to use emoji if your document is formal. A shorter, well-structured answer converts better and needs less editing.
What is lost
A converter that stays private cannot load pictures from other sites, so images are replaced by their alt text, and you add the picture in Word yourself. Mathematical notation and syntax colours in code are not carried over, although code keeps its monospace look in a shaded block. If the answer includes a diagram written in a diagram language, it will show as text.
Save as PDF instead?
If you do not need to edit the answer and only want to keep or share it, a PDF is simpler: see how to save a ChatGPT answer as a PDF. For a general Markdown file rather than a chat answer, the guide to converting Markdown to Word covers the same steps.
Privacy
Conversations can contain private business or personal details. Prefer tools that run in your browser and do not ask you to upload a file. After saving the document, remember it is an ordinary file on your device, so store or delete it as you would any private document.
